Welcome to Statsroom. These Terms & Conditions apply when you book, purchase or use services provided by Statsroom. By placing an order with Statsroom, you agree to these Terms & Conditions. Please read them carefully before completing a purchase.
Services Provided
Statsroom provides objective swimming performance analysis at selected swimming competitions within the United Kingdom.
Analysis is produced using race footage recorded by Statsroom and may include performance measurements such as:
Race splits.
Stroke rate.
Stroke count.
Breakout times and distances.
Turn performance.
Underwater performance.
Other measurements included within the analysis package purchased.
The exact data provided will depend on the race distance and analysis package selected.
Statsroom provides objective performance data. The service does not provide swimming coaching, medical advice or guarantee any particular improvement or sporting outcome.
Booking Analysis
Analysis must be booked before the relevant race takes place.
Each competition will have a published online booking deadline. Online bookings will normally close on the day before the competition begins.
After online bookings have closed, Statsroom may accept additional bookings in person at the competition where there is sufficient availability to accommodate the request. Acceptance of an in person booking is at Statsroom's discretion and must take place before the relevant race.
At present, analysis cannot be purchased after a race has already taken place.
Customers are responsible for:
Providing accurate information during booking;
Selecting the correct swimmer;
Selecting the correct race or races; and
Selecting the intended analysis package.
A booking is confirmed once the required booking information has been submitted and payment has been successfully completed.
Finals analysis may be booked in person at the competition once qualification has been confirmed. Finals bookings are subject to availability and must be completed before the relevant final takes place.
Who Can Purchase Analysis
A swimmer who will be aged 18 or over on the date of the competition may purchase analysis for themselves.
Where the swimmer will be under 18, an individual booking must be made by their parent or legal guardian.
As part of the booking process, customers will be required to confirm:
Whether the swimmer will be aged 18 or over at the competition.
That the information provided is accurate.
That they have the authority to purchase the analysis.
Statsroom may request additional verification where there is reason to believe that information provided is incorrect or that the person making the booking may not have the required authority.
Where appropriate verification cannot be completed, Statsroom may refuse or cancel the booking or withhold the analysis and associated race footage.
Coaches, relatives, friends or other individuals cannot independently purchase analysis for an under 18 swimmer through the standard booking process unless they are the swimmer's legal guardian.
Club Bookings
Swimming clubs may separately commission Statsroom to provide analysis for swimmers within their club.
For club bookings, the club is responsible for obtaining the necessary permission from:
adult swimmers included within the service; and
the parent or legal guardian of each under 18 swimmer included within the service.
An authorised club representative will be required to confirm that the appropriate permissions have been obtained and that the club has authority to purchase and receive the agreed analysis and, where applicable, race footage.
Club bookings may be subject to separate service, booking and payment arrangements agreed between Statsroom and the club.
Payment
All prices are displayed in pounds sterling (£).
Payment must be made in full before an individual booking is confirmed unless otherwise agreed by Statsroom.
Payments are processed using a third party payment provider. Statsroom does not directly store customers' full payment card details.
Where a refund is issued, it will be returned to the original payment method used for the purchase.
Cancellations and Refunds
Customers may cancel an analysis booking and receive a full refund until the published booking deadline for the relevant competition.
Once the booking deadline has passed, change of mind cancellations will not normally be accepted.
Different circumstances are handled as follows:
Withdrawal or DNS: If a booked swimmer withdraws or does not start the relevant race, the customer will receive a full refund for that individual analysis.
Multiple race bookings: Where several analyses were purchased, only the race or races that the swimmer did not compete in will be refunded. Other booked analyses remain unaffected.
Disqualification: If the swimmer completes their race and is subsequently disqualified, the analysis will normally continue because the recorded performance can still be analysed. Statsroom may agree to a refund or transfer following a disqualification at its discretion.
Competition or session cancellation: If the relevant competition or session is cancelled and the booked race does not take place, the affected analysis will be refunded in full.
Statsroom unable to fulfil the booking: If Statsroom is unable to fulfil a booked analysis, the customer will receive a full refund for the affected analysis.
Refunds will be returned to the original payment method used for the purchase.
Race Filming
Race footage is recorded by Statsroom for the purpose of producing performance analysis.
To calculate performance data accurately, Statsroom needs to record a sufficient area of the pool to provide the necessary visual reference points. This means that other competitors may appear within the recording, including swimmers under the age of 18.
Where more than one booked swimmer competes within the same race, a wider field of view may be required to capture the performances being analysed.
Statsroom will operate in accordance with the photography, filming and safeguarding arrangements applicable to the competitions it attends.
Information about how Statsroom handles personal information and recorded footage is provided in the Statsroom Privacy Policy.
Analysis and Data Accuracy
Statsroom reviews race footage before beginning detailed analysis to determine whether the purchased analysis can be completed reliably.
Competition environments cannot always be completely controlled. Footage may occasionally be affected by factors such as:
Temporary obstruction of the camera.
Visibility within the venue.
Equipment or positioning.
Activity around the filming location.
Other circumstances outside Statsroom's reasonable control.
Where an individual data point is affected, Statsroom may still report that measurement where it determines that the available footage allows the data to be calculated to a sufficient level of accuracy.
Statsroom will not knowingly invent or provide data that it considers unreliable.
If Statsroom determines that too much of the required data is unavailable or unreliable to provide the purchased analysis to an acceptable standard, the customer will be offered the choice of:
A full refund for the affected analysis.
Transfer of the booking to another eligible race where this is available.
Statsroom will make this determination following its initial review of the race footage.
Delivery and Analysis Queries
Completed analysis will be delivered electronically within 14 days after the relevant competition has ended.
Statsroom aims to complete analysis sooner wherever possible, but the 14 day period represents the maximum standard delivery timeframe.
Customers should review their completed analysis after receiving it.
If a customer believes a measurement or data point may be incorrect, they should contact Analysis Support within 14 days of receiving the completed analysis so that Statsroom can review the measurement while the original race footage remains available.
A review may result in:
Confirmation that the original measurement is correct.
Correction of a measurement where an error is identified.
Further communication with the customer where additional explanation is required.
Race Footage
Race footage is included at no additional charge with Statsroom analysis purchases but is not automatically supplied.
Once the competition has finished, the customer may submit a Request Footage request.
To protect swimmers and verify entitlement to the footage, Statsroom will require:
The customer full name.
The email address used for the original booking.
The swimmer full name.
The relevant receipt/order number.
Confirmation that the requester is authorised to request and receive the footage and that the information supplied is accurate.
Following successful verification, requested footage may be delivered alongside the customer's completed analysis.
Race footage may contain other competitors, including swimmers under 18. Customers requesting footage will be made aware of this and should consider the privacy of other identifiable swimmers before sharing or publishing their copy.
Statsroom permanently deletes its original race footage 30 days after the completed analysis has been delivered.
Customers wishing to receive their footage must submit their request before the footage has been permanently deleted. Once deleted, Statsroom cannot provide another copy.

Completed Analysis and Performance Records
Statsroom may retain completed analysis reports and the associated performance data for up to three years after the completed analysis has been delivered.
Retaining this information allows Statsroom to:
Maintain a history of analyses completed for the same swimmer.
Compare that swimmer's performances across different competitions.
Provide future analysis that includes comparison with their previous Statsroom data.
Offer services that allow swimmers to understand their performance development over time.
Historical performance information will relate to the same swimmer and will not be presented as another swimmer's personal performance history.

Use of Analysis and Customer Content
Customers may use their completed analysis for the swimmer's personal performance and development purposes.
Customers may also share their completed analysis with people involved in the swimmer's development, including their swimming coach.
Purchasing analysis does not automatically give Statsroom permission to publicly use:
The swimmer's race footage.
The swimmer's completed analysis.
Identifiable performance data.
Customer comments or feedback.
Customer testimonials.
If Statsroom wishes to use customer material publicly for promotional or marketing purposes, separate permission will be requested first.
Intellectual Property
The design, presentation, branding, analysis materials and original content produced by Statsroom remain the intellectual property of Statsroom.
Purchasing analysis gives the customer permission to use and share their completed report for the swimmer's personal performance and development purposes.
Statsroom reports, templates, designs and other materials must not be:
Resold.
Commercially reproduced.
Altered and presented as another organisation's work.
Used commercially by another person or organisation without permission from Statsroom.
Responsibility and Limitations
Statsroom will take reasonable care when recording, analysing and reporting performance data.
The analysis reflects the performance captured within the relevant race and the data that can reasonably be obtained from the available footage.
Statsroom cannot guarantee:
improvements in swimming performance.
personal best performances.
qualification or selection.
competition results.
any other particular sporting outcome.
Statsroom is not responsible for circumstances outside its reasonable control that do not result from the way Statsroom has provided the service.
Nothing in these Terms & Conditions excludes or limits any responsibility that cannot legally be excluded.
Changes to These Terms
Statsroom may update these Terms & Conditions where its services, processes or business arrangements change.
The latest version will be published on the Statsroom website and will display the date it was last updated.
Changes will not retrospectively alter the terms that applied to an existing booking.

Services Provided
